A meeting-notes tool plus an automation tool covers a lot of busywork. Here's a stack that stays under $50 a month for one owner, with prices from vendor pages (Nov 2026).
FTC disclosure: FirstHire earns a commission if you sign up through some links on this page (Fireflies and Make), at no extra cost to you. That never changes our verdicts. How we make money.
How we researched: vendor pricing pages and help docs, read Nov 2026. Prices change; check the vendor page before you buy. We have not run long-term tests yet and will say so when we do.
The stack
| Tool | Job | Cost (1 user) |
|---|---|---|
| Fireflies Pro | Records calls, notes, action items | $10/mo yearly ($18 monthly) |
| Make Core | Sends action items to tasks, CRM, email | $12/mo yearly ($16 monthly); Free plan for light use |
| Google Sheets / Tasks | Where results land | Free with a Google account |
| Total | $22/mo yearly, or $34/mo monthly |
That leaves room under $50 for an AI writing assistant. Writesonic (see Writesonic) and Synthesia (see Synthesia) are options; check their current plans, as we haven't confirmed whether they fit the budget.
How it works together
- Fireflies joins your call and writes the summary.
- Make picks up the summary and creates a task for each action item.
- Make emails the client a recap and logs the call in a sheet.
Start free first
Both Fireflies and Make have free plans. Run the stack free for 2 weeks; upgrade only the piece you actually hit a limit on.
Watch out for
- Adding teammates multiplies Fireflies cost.
- Frequent Make checks use credits even when nothing happens.
- Get recording consent from callers.
